Managing messages

Who can do this?

  • All users: Read and manage messages delivered to their inbox (admin announcements, system notifications).
  • System Administrators: Also see Sent messages and delivery/read metrics.

Inbox overview

Your inbox lets you search, open, archive, or trash messages. Tabs show Received, Archived, Trash (and Sent for admins). Each tab displays a badge with the count of items (e.g., unread in Received).

List view preview shows: Sender, Subject, Date, and a snippet of the body. Bold rows are unread. Opening a message marks it read and you can’t mark it unread.

Type words or phrases into the Search field. Results match messages with that text in the Subject field.

Received messages

  • Click a row to open full details.
  • From the list ellipsis (⋮) or inside the message, you can Archive or Trash.

Archive & Trash

You can move any message (received or sent) to Archive or Trash from the list ellipsis or the message view.

Archived

  • Keeps the message for reference but removes it from Received.
  • Access via the Archived tab.
  • From Archived, you can Restore to inbox or Trash.

Trash

  • For messages you no longer need.
  • From Trash, you can Restore to inbox, Archive, or Delete permanently.

The badges beside Archived and Trash show total counts in those tabs.

Sent messages (admins)

Admins can open the Sent tab to review messages they’ve sent to users.

Open any message to see:

  • Audience summary: how many organisations selected and how many users received it.
  • Read rate (%): proportion of recipients who have opened the message.
  • Recipient list: each user who received it, with read/unread status and timestamps where available.

Troubleshooting

I can’t see the inbox or messages

  • Your role may not include messaging; contact a system admin to confirm.

The search bar isn’t finding a message

  • Search matches Subject text; try a different keyword or check another tab.

An important message disappeared

  • Check Archived or Trash; trashed items are deleted after the retention window.
